How Remote Online Notarization Works

Remote Online Notarization (RON) makes it possible to notarize documents completely online using secure audio-video technology. Instead of meeting with a notary in person, signers can complete the entire process remotely from their computer, tablet, or smartphone.
The process is 100% legal in all states that allow RON transactions. As of 2026, most U.S. states allow some form of Remote Online Notarization (RON). However, a few states still do not fully authorize their notaries to perform remote online notarizations.
States that currently do not fully allow RON include:
Alabama
Georgia
Mississippi
South Carolina
California has passed legislation related to online notarization, but full implementation and statewide rollout are still in progress.
It’s also important to note that laws can change frequently, and some states may allow limited electronic notarization without permitting full remote online notarization. Additionally, many states recognize valid RON notarizations performed by notaries commissioned in other states
Here is how the process typically works:
Step 1: Upload the Document
The document that needs notarization is uploaded to a secure online platform. This allows the notary and signer to review everything before the session begins.
Step 2: Identity Verification
Before the notarization can proceed, the signer’s identity must be verified. This usually involves:
Uploading a government-issued photo ID
Answering security questions
Completing identity authentication checks
These security measures help prevent fraud and ensure the signer is who they claim to be.
Step 3: Live Video Session with the Notary
The signer connects with the notary through a live audio-video call. During the session, the notary confirms the signer’s willingness to sign the document and ensures they understand what they are signing.
The notary may also ask basic questions to verify awareness and consent.
Step 4: Electronic Signature and Notarization
Once verification is complete, the signer electronically signs the document. The notary then applies their electronic seal and digital signature to finalize the notarization.
The completed document is securely stored and can typically be downloaded immediately after the session.
